HSEQ ADMINISTRATOR

We are looking for a self-motivated, dynamic, and hands-on HSEQ Administrator to join our team that will be based on client’s site. This role is critical as it provides key support to the HSEQ, Operations and Maintenance teams. You will be required to work closely with site teams to ensure personnel competencies, equipment certifications and other related materials are kept up to date and uploaded as required to facilitate audits, inspections and site access. Flexibility, availability, and the ability to thrive in a fast-paced site environment are essential requisites for the position

 

DUTIES & RESPONSIBILITIES:

  • Maintain and update site-based records for equipment inspections, certifications, and maintenance schedules to ensure operational compliance with HSEQ standards.
  • Oversee and manage employee competence records at the site, including certifications, training logs, and qualifications, ensuring readiness for client and regulatory inspections.
  • Ensure timely and accurate submittals of all required site documentation to the client, including equipment compliance certificates, training records, and incident reports.
  • Coordinate and schedule training programs for site staff to address competence gaps and ensure compliance with industry and client requirements.
  • Actively support the implementation and enforcement of HSEQ policies, procedures, and systems at the site.
  • Conduct on-site audits and inspections to ensure accurate documentation, compliance, and readiness for client or regulatory audits.
  • Act as the primary point of contact for HSEQ-related queries from site personnel and the client.
  • Assist in documenting and tracking incident investigations, ensuring proper recording of findings and corrective actions taken at the site.
  • Regularly update and manage the site’s HSEQ electronic and physical filing systems.
  • Provide on-the-ground administrative support to the HSEQ team and site management.
  • Stay current with relevant site-related HSEQ legislation, standards, and best practices, ensuring site compliance at all times.

 

 

QUALIFICATIONS & SKILLS:

  • BSc/BA in Safety Management or related field is preferred
  • Proven experience as a Health and Safety Administrator or similar role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) with the ability to manage site documentation systems effectively.

 

KNOWLEDGE, SKILLS & ABILITIES

  • Proven experience in an HSEQ, compliance, or administrative role, ideally in a site-based or client-facing environment.
  • Strong understanding of site-specific HSEQ standards, practices, and regulatory requirements.
  • Ability to adapt quickly to changing site priorities and work efficiently in a fast-paced environment.
  • Excellent organizational skills and attention to detail to handle multiple tasks across the site.
  • Strong interpersonal and communication skills to engage with site personnel, clients and management.
  • Flexible and available to respond to site needs and operational demands as they arise.

We are seeking proactive and dedicated HSE Professionals to join our dynamic team that will be based at on client’s site. This position will be crucial for the maintenance of a robust health, safety, and environmental standards on-site. As a key contributor to on-site operations, the HSE Advisor will work collaboratively with teams to identify hazards, mitigate risks, and promote a proactive safety culture, ensuring compliance while fostering operational excellence.

DUTIES RESPONSIBILITIES:

  • Develop, implement, and monitor HSE programs and procedures to ensure full compliance with regulatory standards and internal policies.
  • Conduct regular site inspections and audits to identify potential hazards and propose corrective actions.
  • Reporting of all incidents, lead incident investigations, identify root causes, and recommend preventive measures.
  • Provide HSE training and awareness to staff, ensuring a deep understanding of safety protocols applications.
  • Maintain records and reports related to safety, health, and environmental compliance.
  • Collaborate with project and team leads to promote a culture of safety and environmental responsibility.
  • Provide guidance with up to date with HSE laws and regulations, ensuring all processes align with industry best practices.
  • Identify and minimize on-site risks, ensuring all hazards are properly addressed and controlled.
  • Develop and communicate safety alerts based on incidents to prevent recurrences.
  • Support the site Emergency Response Plan by ensuring team training, readiness, and regular emergency drills.
  • Orient subcontractors and suppliers on their HSEQ roles and responsibilities.
  • Review and verify contractor documentation, ensuring compliance with project and statutory requirements.

 

QUALIFICATIONS & SKILLS:

  • Bachelor’s degree in Occupational Health & Safety, Environmental Science, Engineering, or a related field. NEBOSH, IOSH, or other relevant certifications are a plus.
  • Minimum of eight (8) years of experience in an HSE role, preferably in a process or industrial setting.
  • Strong knowledge of HSE regulations, standards, and best practices.
  • Proven track record of successful HSE program implementation and incident management.
  • Excellent communication, leadership, and interpersonal skills.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.

 

KNOWLEDGE, SKILLS & ABILITIES

  • Proven experience managing HSEQ for high-risk onsite operations, with knowledge of ISO 9001, 14001, and 45001.
  • Practical knowledge of site-specific safety challenges, including confined spaces, heavy machinery, and hazardous materials.
  • Strong written and verbal communication skills for reporting, training, and on-site interactions.
  • Proficiency in MS Office and software tools for site auditing and documentation.
  • Mental and physical fitness with ability to meet the demands of site work will be favourable.
